ENVIRONMENT:

An independent engineering firm able to provide existing businesses access to an engineering department for the development of products and engineered solutions, is currently seeking a multi-skilled Personal Assistant who can operate across administration, office management, marketing support, and light creative/design tasks.

This is not a traditional PA role, it combines executive support, project administration, basic design/marketing responsibilities, and involvement in the company’s signage and laser-cutting workflows. The role is intended to replace and level up a current internal employee, giving the business more capability across both operational and creative functions.

DUTIES:

Key Focus Areas:

Executive & Administrative Support:

  • Diary and meeting management for Directors.
  • Handling quotes, contractor follow-ups, document control, and general admin.
  • Acting as the primary support point for various ad hoc and ongoing tasks.

Office Management:

Oversight of daily office operations, consumables, equipment, contractor coordination.

Maintaining organisation, structure, and smooth workflow across the office.

Marketing & Creative Support:

  • Updating the WordPress website (content edits, images, company news, etc.).
  • Supporting graphic design tasks (basic layout, resizing, brand materials).
  • Using LightBurn or similar software for laser-cutter file preparation (training can be provided).
  • Assisting with signage-related tasks and creative production as needed.

Client & Project Coordination:

  • Preparing and following up on quotations.
  • Coordinating internal teams and suppliers to ensure job progress.
  • Communicating with clients professionally and tracking project updates.

ATTRIBUTES:

Ideal Candidate Profile:

  • Highly organised, proactive and capable of balancing diverse responsibilities.
  • Comfortable moving between admin, operations, and creative tasks.
  • Tech-savvy and quick to learn new software and systems.
  • Friendly, polished communication style with clients and internal staff.
  • Creative problem-solver and strong multitasker.
  • Previous experience in signage, graphic design, office management or marketing coordination is a strong advantage.
  • Candidates with design/marketing exposure or relevant certifications fall on the higher end.
