Legal firm seeking a highly capable and experienced Office Manager / Personal Assistant to join our team. This pivotal role is the organisational backbone of our firm, requiring a versatile "jack-of-all-trades" who will provide comprehensive support to our Senior Attorney while ensuring the seamless and efficient operation of the entire office.

Key Responsibilities

Personal Assistant to Senior Attorney:

  • Provide high-level, confidential administrative and legal support to the Senior Attorney, with a specific focus on the management and administration of pension fund wind-ups and curatorship files.
  • Draft, format, and type a wide range of documents, correspondence, and legal reports with exceptional speed and accuracy.
  • Manage the Senior Attorney's diary, schedule appointments, coordinate meetings, and handle all communications effectively.

Office Management:

  • Oversee all day-to-day office operations, acting as the primary point of contact for clients, staff, and suppliers.
  • Manage the new client intake process, including FICA compliance and opening new files.
  • Supervise administrative staff and oversee the firm's accounting functions in conjunction with the external accountant, including instructing payments and managing financial systems.
  • Proactively identify opportunities to improve efficiency by developing and implementing new systems and processes.
  • Manage all office logistics, including stock-taking and ordering of supplies.
  • Assist with the firms marketing and social media presence as required.
Qualifications and Skills
  • Essential: Proven experience in a senior administrative, office management, or senior PA role. Experience within a legal or professional services environment is highly advantageous.
  • Mindset: A "no-nonsense," proactive, and results-driven individual who thrives in a fast-paced environment and is willing to take on a wide variety of tasks.
  • Technical Skills: A high degree of proficiency in the MS Office Suite (Word, Outlook, Excel) and excellent typing skills with a focus on both speed and accuracy.
  • Organisational Skills: Exceptional organisational, time-management, and multitasking abilities with a conscientious approach and high level of initiative.
  • Communication: Impeccable professionalism, discretion, and a strong work ethic. An exceptional command of the English language (written and verbal) is required. Fluency in Afrikaans is highly advantageous.
