Payroll Clerk

Location: Pietermaritzburg

Job Purpose

To ensure the accurate and timely processing of payroll, maintain employee records, and provide administrative support to the payroll and HR functions in compliance with company policies and statutory requirements.

Minimum Requirements
  • Grade 12 / Matric Certificate
  • VIP / Sage 300 Payroll Certification
  • Experience working with a biometric time and attendance system (Jarrison advantageous)
  • Proficiency in Microsoft Office applications (particularly Excel and Word)
Key Responsibilities Payroll Processing
  • Process weekly wages accurately and within required deadlines
  • Capture and verify employee hours, overtime, leave, and deductions
  • Ensure payroll data integrity and resolve discrepancies promptly
  • Maintain strict confidentiality of payroll information
Third-Party Payments
  • Administer and process all third-party payments, including:
  • Union subscriptions
  • Bargaining council contributions
  • Garnishee orders and other statutory deductions
  • Ensure compliance with legislative and contractual obligations
Employee Records & Systems Management
  • Maintain and update employee payroll records and personal information
  • Administer and update the leave management system
  • Maintain accurate employee training records
  • Ensure all personnel files are complete, compliant, and up to date
Reporting & Compliance
  • Prepare payroll-related reports as required
  • Assist with internal and external audits by providing accurate payroll and employee data
  • Ensure compliance with relevant labour laws, tax regulations, and company policies
Administrative Support
  • Provide general administrative support to the payroll and HR departments
  • Assist with ad hoc payroll and HR-related tasks
  • Support continuous improvement of payroll processes and systems
Knowledge, Skills & Competencies
  • Advanced Microsoft Excel skills (formulas, data analysis, reporting)
  • Strong attention to detail and high level of accuracy
  • Excellent organisational and time management skills
  • Ability to handle confidential information with discretion
  • Strong numerical and analytical ability
  • Good communication and interpersonal skills
  • Ability to work under pressure and meet tight deadlines
