Executive Assistant

Responsibility
- Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents for executives such as drafting and editing emails, letters, memos, and other communications.
- Support executives in project management activities, including tracking deadlines, monitoring project progress, and preparing project status reports.
- Coordinate meetings and follow-ups related to projects and financial matters
- Assisting with organising events, conferences, meetings, and other special events as required for executives
- Anticipating and resolving administrative issues and challenges proactively
- Professional demeanor with the ability to interact comfortably with executives and stakeholders at all levels.
- Willingness to adapt to changing priorities and take on new responsibilities as needed
Finance Assistance:
- Manage and maintain financial data, records, and documentation.
- Conduct research and compile data for financial reports and presentations.
- Assist with financial tasks such as invoicing, expense tracking, and budget monitoring.
- Prepare financial reports, including profit and loss statements, balance sheets, and cash flow forecasts.
- Coordinate with accounting department to ensure accurate and timely processing of payments, reimbursements, and financial transactions
- Handle confidential information with discretion and maintain confidentiality at all times.
- Ensure compliance with financial regulations and company policies
Education/ Qualification:
- Matric Certificate
- Business related qualifications AND/OR appropriate experience.
- Previous experience in administration roles.
Skills:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role with a focus on financial tasks.
- Strong proficiency in financial management and reporting.
- Advanced knowledge of MS Office suite (Word, Excel, PowerPoint) and financial software (e.g., QuickBooks, SAP).
- Excellent organisational and time management skills with the ability to prioritise tasks.
- Exceptional verbal and written communication skills.
- High level of attention to detail and accuracy in financial data management
- Ability to work in a fast-paced environment and adapt to changing priorities
Training:
- The employee can be expected to attend training seminars, webinars, courses or programs relating to the development and growth related to their roles.
Experience:
- 5 - 10 Years experience
