Minimum Requirements:

  • Grade 12
  • Diploma/Certification/Relevant qualification
  • Data capturing skills
  • Filing proficiency
  • Excellent verbal and written communication in English (read, write and speak)
  • Telephone skills
  • MS Office proficiency
  • Typing speed: 5565 WPM
  • Proven experience as Office Administrator/Admin Clerk
  • Knowledge of office management systems and procedures
  • Strong organizational and time management skills
  • Ability to multitask and prioritize workload
  • Discretion and confidentiality

Duties:

  • Capture company data timeously
  • Order parts from suppliers (basic procurement)
  • Perform basic costing duties
  • Manage diary and schedule meetings/appointments
  • Prepare supplier and internal communication documents
  • Devise and maintain office filing systems
  • Handle requests and queries appropriately
  • Screen/direct calls and distribute correspondence
  • File invoices, quotes, delivery notes, reports, etc.
  • Manage emails, letters, packages, phone calls, and correspondence
  • Check and respond to emails promptly
  • Create and maintain job files
  • Ensure invoices are costed to the correct account
