What You'll Be Cooking Up:

  • Assist the Executive Assistant with daily administrative tasks.
  • Attend to and screen incoming calls, emails and mail distribution.
  • Maintain office policies and procedures in collaboration with the Executive Assistant.
  • Manage general office operations, including supplies inventory, vendor coordination, and maintenance requests.
  • Assist with planning of the annual calendar and reports.
  • Support online and in-person meeting and events preparation by managing logistics, invitations and resource availability.
  • Organise and maintain filing systems.
  • Coordinate travel arrangements, including visas, flights, accommodation, car rentals, and itineraries.
  • Assist with onboarding new employees and providing administrative support during orientation.
  • Provide ad-hoc project support and perform other duties as assigned.
  • Manage high-pressure scenarios, whether they involve unexpected changes or pressing tasks.
  • Ensures that all details, no matter how small, are attended to.
  • Provide confidential administrative support and managing sensitive information.
  • Manage personal and corporate tasks for the Senior Executives with professionalism and discretion.
  • Manage any relevant personal/household and family related requirements of the CEO in collaboration with the Executive Assistant.

What You Bring to the Table:

  • 3+ years of relevant experience in providing administrative and office support.
  • High level of professionalism, integrity, discretion and confidentiality.
  • Good written and verbal communication skills.
  • Ability to take initiative and work both independently and as part of a team.
  • The position demands an individual who is committed to the success of the team and the overall objectives of the group.
  • Proficiency in MS Teams and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Determination to see tasks through to completion, even when faced with challenges or tight deadlines.
  • Consistently demonstrate persistence, problem-solving abilities, and resourcefulness to ensure that all responsibilities are handled with precision and efficiency.
  • Dedication and willingness to go beyond what is expected.
  • Strong attention to detail and a practical, methodical approach to work.
