Job purpose:
The YES Administrator will assist with the project management administrative duties.The YES Administrator will oversee and perform administrative functions concerned with the delivery of a
successful implementation of the YES initiative for Signas clients. The function of administration is geared at
ensuring YES B-BBEE compliance and will therefore require the YES Administrator to perform duties such as
candidate onboarding, candidate and client registration, and general administration.
Duties:
- Collate and quality assure candidates documents.
- Register YES candidates with the YES NPC and register clients if required.
- Prepare candidate's upload sheets, submit for approval, and process with YES.
- Establish and maintain project (client) folders for each client in compliance with the guidelines.
- provided and ensure standardization of project folders
- Ensure that all stipulated documents on the checklist are filed and kept current.
- All candidate information should be managed in accordance with internal standards and the PoPi Act (Protection of Personal Information Act).
- Follow up on all relevant documentation, status of actions and deliverables.
- Capture candidates on the LMS system or drive and update periodically.
- Liaise directly with the Host mentors and candidates on YES-related matters and administration.
- Ensure monthly mentorship reports are received from mentors and captured accordingly.
- Ensure that all communication to candidates is prioritized and Account and team members are kept updated.
- Prepare registers and monitor attendance for training.
- Maintain an accurate database of all training that has taken place.
- Ensure that all Change Requests are recorded and that the correct change process and sign-off procedures are followed.
- Respond to candidate queries timeously and escalate extraordinary queries to the Account Managers.
- Liaise with YES about general queries (phones, registration, etc.).
- Liaise with the Signa YES team members and internal Signa Group colleagues on a regular basis.
- Follow up and follow through on tasks and undertakings, and execute everyday tasks within set deadlines to achieve maximum results.
- Assist with general administration duties.
- Provide a high-quality service to internal and external customers.
- Be conscious of costs and use inputs economically while remaining customer-focused.

- Clear communication (oral and written).
- Has a positive approach and demonstrates professional standard when carrying out work.
- Ability to work on own initiative.
- Computer Literacy (MS Office, Google Mail, LMS).
- High level of accuracy in data capturing.
- Effective filing experience.

- Must be orderly, adaptable, professional, courteous and motivated and must work well on their own or as a member of the team.
- Possess strong typing skills and be well versed in other areas of office.
- Highly organized and flexible.

- Must be self-directed and able to complete projects with limited supervision.

Requirements:
- South African unemployed youth between the ages of 18 and 34.
- Must not have participated on the YES programme before.
- Matric.
- Dip Office Management or Office Administration or business Administration or HR or equivalent.
- Computer literate on MS Office and Gmail and LMS.
- Ability to sit for extended periods.
- Fine dexterity to operate computer, calculator and other office equipment.
- Visual alertness to inspect documents for accuracy.
- Ability to hear and speak to exchange information.
- Ability to occasionally bend, stoop and reach for work tools of trade etc.
- Ability to occasionally lift and carry standard office items/tools of trade.
- Ability to attend work at least in normal business hours.
- Ability to stay alert and sustain effectiveness through antisocial hours in times of emergencies or conflicting deadlines/work under pressure.
