A well-established and reputable pharmaceutical company is seeking a highly organised and professional Personal Assistant to provide executive-level support to the Managing Director and Management Team, on a 6-month contract basis.
This role is suited to a proactive individual who thrives in a fast-paced, regulated environment and can manage multiple priorities with discretion, efficiency, and attention to detail.
Key Responsibilities
Executive & Management Support- Provide comprehensive administrative support to the Managing Director and Management Team
- Prepare and edit correspondence, reports, presentations, and meeting documentation
- Screen calls, emails, and correspondence, responding where appropriate
- Draft formal communications on behalf of the Managing Director and management
- Maintain strict confidentiality of sensitive business, commercial, and regulatory information
- Proactively manage and coordinate the Managing Directors diary
- Assist the Management Team with scheduling and calendar coordination as needed
- Arrange internal and external meetings in line with business priorities
- Coordinate engagements with regulatory bodies, suppliers, healthcare professionals, and key stakeholders
- Ensure adequate preparation time and reminders for all meetings
- Arrange domestic and international travel (flights, accommodation, transfers, visas where required)
- Prepare detailed travel itineraries
- Manage travel-related expenses and reconciliations
- Coordinate logistics for conferences, regulatory meetings, and industry events
- Maintain organised filing systems (electronic and hard copy)
- Assist with document control and audit preparation
- Support regulatory submissions and ensure documentation readiness
- Liaise with internal departments to support workflow between management and operational teams
- Track and follow up on action items from management meetings
- Arrange and coordinate meetings, including venue bookings and catering
- Prepare agendas and meeting packs
- Record minutes and distribute action items
- Coordinate company events, board engagements, and stakeholder meetings
- Proven experience as a Personal Assistant or Executive Assistant at senior level
- Fluent in English and Afrikaans (spoken and written)
- Strong organisational and time management skills
- Excellent written and verbal communication skills
- High level of professionalism and discretion
- Ability to multitask and prioritise effectively in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience in a pharmaceutical, healthcare, or regulated environment (advantageous)
- 6-month contract with potential for permanent employment
- Salary: Market-related (dependent on experience)
