Internal Sales Administrator - Mining Machinery Parts & Spares - Benoni
The company sells earthmoving parts, specialising in the SRP Volvo range, the Geographe Enhanced Performance range, as well as drifter parts
The Sales Administration position is there to provide support for the sales team in respect of administration, following up of quotes and driving the various systems involved in the sales process.
Monday to Friday 07h00 to 17h00, every second Saturday from 07h00 to 12h00
Working hours: Monday to Friday 07h00 to 18h00 / Every 2^nd Saturday from 07h00 to 12h00
Minimum requirements:
- Matric
- Basic knowledge of parts preferable
- SA Drivers Licence and own vehicle
- Experience in a sales and/or administrative-type position
- Proficiency in the English language and communication skills (reading, writing, grammar, spelling, etc.). Afrikaans proficiency would be a bonus.
- Complete accuracy in carrying out all duties and responsibilities.
- Basic mathematical skills | Computer Skills.
- MS Excel knowledge (Basic formulas and formatting). Formulas must include sum, average and basic calculative functions (+, -, x, ÷). Formatting must include decimal, currency and visual changes.
- MS Word knowledge (numbering, bulleting, headers, footers, etc).
- Experience with an accounting package, specifically Pastel Evolution, preferable
Job description :
Write and distribute emails | Create quotes and send to customers.
Follow up on outstanding quotes and provide constant feedback to the applicable sales person.
Drive the sales order process in terms of:
o Creating sales orders.
o Constantly following up purchase orders that need to be created with the procurement department.
o Once inventory items have been received, invoices and delivery notes to be generated.
o Constantly following up with the distribution department on parts that need to be delivered/collected.
Answer telephone calls for sales department and distribute calls to correct sales person.
Distribute incoming sales enquiries on the helpdesk (email) to the correct sales person.
Provide strong customer service to customers which includes but is not limited to:
o Providing feedback on status of order.
o Resolve any issues that may arise in respect of incorrect deliveries.
o Resolve any issues that may arise in respect of any return of goods
Provide routine assistance in the administration of the sales department which include but is not limited to:
o Maintaining records, reports and files | o Preparing and analyzing reports.
o Using computers to enter, access or retrieve data.
Secondary Duties:
Due to the operational requirements of the business certain duties and responsibilities may be expanded on or changed which may include but is not limited to:
Procurement related functions | Preparing minutes of meetings.
Drafting various forms of correspondence | Data capturing.
Personal assistant tasks like arranging meetings, etc.
