Documentation Controller (Logistics)

As the Documentation Controller, you will be responsible for managing end-to-end export documentation processes, ensuring compliance and accuracy across every shipment.
Your duties will include:
- Opening shipment files on internal systems and uploading all supporting documentation
- Accurately capturing and maintaining consignee and shipment instructions
- Ensuring final file covers are received prior to vessel sailing
- Submitting shipping instructions to shipping lines within required deadlines
- Preparing, processing, and submitting export documentation including:
- PPECBs
- Phytosanitary certificates
- Certificates of Origin
- EUR 1, Form A, Cargo Dues
- Ensuring completed documentation is correctly uploaded and available on systems
- Maintaining accurate and up-to-date shipment records, including notes on costs and delays
- Completing additional invoice instructions, Form 7s, and related documentation within 30 days of vessel departure
- Liaising with clients to obtain all required documentation and provide guidance where needed
- Communicating with third-party service providers such as shipping lines, Customs, PPECB, Chambers, and courier partners
- Managing documentation exceptions, queries, and escalations efficiently
- Adhering strictly to documentation KPIs and service-level requirements
- Handling a minimum annual volume of ±600 containers (complexity dependent)
- Grade 12 (Essential)
- Diploma in Shipping, Clearing & Freight Forwarding, Logistics, Distribution, or related field (Advantageous)
- Minimum 2 years experience in Freight Forwarding and Logistics
- Proven experience handling export documentation, preferably wine and dry cargo
- After-hours availability is essential
- Working knowledge of Google Workspace and Excel
- Experience with Inttra, Wine Online, and Customs procedures
- Strong ability to read, interpret, and verify shipping documentation
- Fast learner with the ability to adapt to new systems and processes
- Exceptional attention to detail and accuracy
- Strong organisational and time-management skills
- Resilient and able to perform under pressure
- Proactive communicator with a client-service mindset
- Able to manage multiple stakeholders in a dynamic, deadline-driven environment
- Team-oriented, with the ability to support colleagues when required
