Site Administrator- Petrochemical Oil & Gas Industry

We are looking for a highly organised and detail-oriented Site Administrator to support the Construction Manager and site operations team.

This role plays a key part in ensuring smooth administrative, procurement, and HR support functions on site while maintaining compliance with ISO standards and HSE protocols.

The successful candidate will ensure efficient recordkeeping, procurement coordination, staff documentation management, and overall administrative control of site activities.

Location: Site-Based / Cape Town

Key Responsibilities

• Provide full administrative support to the Construction Manager
• Maintain accurate filing systems and project documentation
• Prepare reports, correspondence, and site-related documents
• Track site attendance, incidents, and daily work progress
• Maintain records for audits and inspections
• Ensure documentation is ISO and HSE compliant

• Perform procurement activities under supervision
• Coordinate logistics and delivery of materials
• Manage office supplies and site administrative resources

• Assist with employee attendance tracking
• Maintain induction records and staff documentation
• Support employee coordination and compliance processes
• Ensure alignment with ISO 45001 and ISO 14001 standards (where applicable)

• Communicate project updates and administrative requirements
• Report hazards, non-conformances, and deviations
• Support coordination between Construction, Mechanical, QA/QC, HSE and HR teams

Requirements

Minimum Requirements

• Matric / Grade 12 / National Senior Certificate
• Diploma in Administration or Construction Management (advantageous)
