About the role
The Administrator in our organisation is responsible for ensuring efficient, accurate, and well-coordinated administrative operations that support client service, order processing, and internal workflow.
Responsibilities:
Administrative Support- Execute daily administrative tasks efficiently and accurately.
- Prepare quotations, invoices, PO and reports within required turnaround times.
- Maintain well-organised filing systems (digital and physical).
- Ensure all documentation is accurate, complete, and up to date.
- Handle emails, calls, and client correspondence professionally.
- Capture and process client orders with high attention to detail.
- Coordinate with suppliers and internal teams to ensure smooth workflow.
- Track order progress, proactively communicate updates and ensure timely delivery.
- Adapt processes where necessary to meet specific client. requirements without compromising structure.
- Respond to client queries professionally and timeously.
- Maintain clear, transparent communication with clients at all times.
- Follow up on orders, feedback, and outstanding information.
- Support the sales team with administrative tasks.
- Maintain accurate client databases and records.
- Use Excel and internal systems to track orders, stock, and performance.
- Generate basic operational and sales reports when required.
- Support the sales and operations team in achieving business targets.
- Contribute to improving processes and efficiency within the business.
- Assist in ensuring client satisfaction, repeat business, and growth.
- Play an active role in supporting a productive and positive work environment.
- South African Unemployed youth between the ages of 18 and 34.
- Must not have participated on the YES programme before.
- Matric.
- Diploma or certificate in Administration, Business, or related field Advantageous.
- Experience in retail, corporate wear, branding, or similar industries Advantageous.
Skills and Competencies
Technical Skills- Proficient in Microsoft Office (especially Excel, Word, Outlook).
- Basic understanding of invoicing and quotations.
- Comfortable working with systems and databases (CRM).
