Contract and Administrative Coordinator

We are seeking a highly organized, professional, and proactive Contract and Administrative Coordinator to join our team. The ideal candidate will manage contracts, time sheets, and invoices, engage directly with clients, coordinate travel arrangements, and handle general administrative duties.

The role requires excellent communication skills and a presentable demeanor as you will represent our company in both internal and external interactions.

Key Responsibilities:

  • Manage and maintain contracts, ensuring compliance and timely renewals
  • Accurately process and review time sheets and invoices to facilitate prompt payments
  • Serve as a primary point of contact for client engagement, addressing queries and maintaining strong relationships
  • Coordinate and book travel arrangements including flights, accommodations, and transportation, ensuring cost-effectiveness and convenience
  • Perform general administrative duties such as filing, scheduling meetings, managing calendars, and preparing correspondence
  • Maintain confidentiality and handle sensitive information with discretion
  • Present a professional and approachable image when interacting with clients and team members
  • Collaborate with various departments to ensure smooth operational workflow

Experience:

  • Proven experience in contract management, invoice processing, and administrative support
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Proficient in MS Office (Word, Excel, Outlook); experience with travel booking platforms and contract management software is a plus
  • Ability to work independently and as part of a team
  • Professional appearance and demeanor
  • Experience in client-facing roles
  • Knowledge of industry-specific contract terms and invoicing procedures

Qualifications:

  • Commercial or Legal tertiary qualification preferred
