About the role

The Finance & Admin Coordinator supports financial and administrative operations by managing records, reports, invoicing, and accounting systems. The role includes handling office administration, assisting with payroll and bookkeeping, managing accounts payable and receivable, and ensuring accurate financial documentation and reporting.

Responsibilities:

Data Management
  • Weekly & monthly procurement and sales reports
  • Preparing, organising and storing information in paper and digital form
  • Hubdoc: store, sort and index digital financial documents
  • Create and update records and databases with personnel, financial and other data
  • Taking minutes at meetings
Office Management
  • Dealing with queries on the phone and by email
  • Greeting visitors at reception
  • Managing diaries, scheduling meetings and booking rooms
  • Arranging travel and accommodation
  • Printing and photocopying
  • Ordering office supplies
  • Maintaining office systems
  • Liaising with suppliers and contractors
  • Provide administrative support to the CEO and other coordinators
Financial Management
  • Use Xero to manage accounting
  • Support budgeting and bookkeeping procedures
  • Updating daily transaction records and assisting with payroll administration
  • Assist with payroll
  • Managing accounts receivable and payable, as well as expenses
  • Daily invoicing and client management
  • Create and send statements to customers to ensure Company is paid
  • Preparing income statements, balance sheets, and budgets
  • Resolving account discrepancies and performing account reconciliations
  • Liaise with accounting to manage VAT, PAYE and UIF
  • Creating, evaluating and optimizing financial controls and procedures
Other
  • Provide support to other staff, fill in the gaps and take initiative.
Minimum Requirements
  • South African Unemployed youth between the ages of 18 and 34.
  • Must not have participated on the YES programme before.
  • Matric.
  • National Diploma or Certificate (N6) in Financial Management.
  • Strong problem-solving and analytical skills.
  • Good communication skills and ability to work in a team environment.
  • Ability to manage multiple tasks and meet deadlines
  • Preference will be given to youth in and around Piertermaritzburg
